LedgerPilot ("we", "us", "our") provides bookkeeping and invoicing software for freelancers and small businesses. This policy explains what data we collect, why, and your rights over it.
• Account data: name, email, password (hashed), and business details you provide during onboarding (business name, currency, tax region).
• Financial data you enter: clients, invoices, expenses, and receipt images you upload.
• Payment data: processed by Stripe. We do not store full card numbers; Stripe handles card data under PCI-DSS.
• Usage data: device, browser, and interaction analytics collected via PostHog to improve the product.
To operate your account, generate invoices and reports, process payments, provide AI features (expense categorization, receipt parsing, and the financial assistant), and improve and secure the service.
Text and images you submit to AI features (e.g. receipts, questions to the assistant) are sent to our AI provider (OpenAI GPT via Emergent) to generate a response. We do not use your data to train third-party models beyond what is necessary to return your result.
We share data only with service providers necessary to run LedgerPilot — including Stripe (payments), our AI provider, email delivery, hosting, and analytics — under appropriate agreements. We do not sell your personal data.
We retain your data while your account is active and as needed to comply with legal obligations. Passwords are hashed and data is transmitted over encrypted connections. No system is 100% secure, but we take reasonable measures to protect your information.
Depending on your location (e.g. GDPR, CCPA), you may request access, correction, deletion, or export of your personal data. Contact us to exercise these rights.
We use essential cookies for authentication and analytics cookies (PostHog) to understand product usage. You can control cookies through your browser settings.
